SLSU Ushers in a Paperless Future with New Document Management System

Southern Luzon State University (SLSU) took a significant step in its digital transformation by conducting a demonstration of the new Document Management System (DMS), a platform designed to digitize workflows and modernize administrative processes across the institution, January 26.

The online session, held via ZOOM, showcased the system’s capabilities and outlined the preparations for its upcoming implementation. The event was attended by the MIS-ICT staff led by its head, Mr. Francis Ervin F. Pasumbal, the Records Management Office headed by Ms. Eliza P. Beltran, and implementation partners from UBX Corp’s DocuVu Team. The demonstration was presented by Mr. Clifford Manalo of DocuVu.

The virtual walkthrough of the DMS highlighted several transformative features aimed at replacing manual, paper-based methods. These include digital form submission for paperless creation, submission, and tracking of official university forms; automated workflows to route documents for approval based on predefined rules; and PNPKI integration to enable secure, legally recognized digital signatures.

Both Mr. Pasumbal and Ms. Beltran underscored the project’s importance in strengthening efficiency, security, and service excellence through digital innovation.

Following the demonstration, MIS-ICT and RMO staff began refining digital forms and finalizing technical requirements, including PNPKI credentials. End-user training sessions are scheduled once system configurations are completed.

The initiative marks a pivotal phase in SLSU’s digital strategy. As the university prepares for full rollout, project leads assured the campus community that updates on the implementation timeline and mandatory training will be communicated in the coming weeks.
